We are currently recruiting for a Senior Administrative Coordinator to support a growing investment banking firm in the Uptown Charlotte area. This role plays a vital part in the success of the organization and provides administrative support to the office and Senior partners when needed.

This position requires extensive coordination, communication and interaction between the local leaders, employees and cliental.

Fast-paced, dynamic environment where multiple activities may need to be managed in parallel, and priorities may change frequently as issues arise. Must be proactive and able to operate independently.

Primary Responsibilities:

  • Provide calendar management and travel planning for local leaders.
  • Expense management in Concur
  • Liaison between IT and internal employees to resolve technical issues
  • Provide support for Corporate HR when necessary to onboard new hires
  • Download documents from file sharing site, rename and save to server
  • Scan client documents as received
  • Keep client database updated – put in meetings, calls, call notes, etc.
  • Print and bind reports for meetings or sending out
  • Send customized email responses to new client inquiries.
  • Keep buyer database updated (entering resume data points)
  • Researching city / state economic data for reports
  • Researching travel options for Advisors (hotels, rental cars, etc)
  • Billing clients for travel expenses, following up on past due accounts
  • Simple data entry in Excel
  • PowerPoint: adding speaker notes to presentations


  • 4 year degree preferred
  • 1-2 years of administrative support experience preferable working in financial services, wealth management and investments
