Role Summary:

The Client Communications and Transition Coordinator will manage client communication mailings, handle formal document requests, and coordinate with internal and external teams for seamless transitions during institution conversions.

Key Responsibilities:

Client Communication Mailings:

  • Manage Mailings:
    • Oversee the preparation and distribution of client communications, including Negative Consent Letters and Repapering notices.
    • Interface with print vendors and internal transition teams.
  • Approval Process:
    • Obtain necessary approvals for mailing components (letters, inserts, data files).
    • Provide approved materials to vendors for creating mailing packages.
  • Proof Review:
    • Review soft and hard copy proofs and provide final approval for production.
  • Undeliverable Tracking:
    • Track and manage undeliverable client communications.

Formal Document Requests:

  • Conversion/De-conversion Projects:
    • Complete and submit formal document requests for various conversion and de-conversion projects.

Work Request Management:

  • Log Work Requests:
    • Assist team members in logging work requests with the system vendor.
  • Lifecycle Management:
    • Act as the primary contact for work requests, facilitating review and approval of estimates, coordinating testing, and resolving issues.


  • Strong organizational and communication skills.
  • Ability to manage multiple tasks and projects.
  • Detail-oriented with a focus on accuracy.
  • Experience in project coordination and vendor management is a plus.
  • Familiarity with financial services or system vendors is advantageous.
