Job Title: Workflow and Intake Manager

Job Description:
We are seeking a highly organized and detail-oriented individual to join our team as a Workflow and Intake Manager. In this role, you will be responsible for overseeing the intake and workflow processes, managing a shared Inbox, tracking work and projects, coordinating tasks for analytics teams, and collaborating with requestors across the enterprise. Your expertise in business operations, implementation, and strategic planning will be crucial in ensuring smooth and efficient operations within our organization.

Responsibilities:

  • Manage the intake and workflow processes, ensuring the efficient and timely handling of incoming requests and tasks.
  • Supervise and maintain a shared Inbox for the team, ensuring that messages are promptly addressed and distributed to the appropriate individuals.
  • Track the progress of work and projects, ensuring that they are on schedule and meeting quality standards.
  • Coordinate the allocation of tasks to analytics teams, considering their expertise, availability, and workload.
  • Collaborate with requestors across the enterprise to gather requirements, clarify expectations, and ensure a comprehensive understanding of the project scope.
  • Develop and implement workflows and procedures to optimize efficiency and streamline operations.
  • Utilize tools such as Excel, Intake Assessment, Jira, and other project management software to track and report on work progress and project outcomes.
  • Provide regular updates and reports to stakeholders, highlighting key metrics, milestones, and any issues that require attention.
  • Identify opportunities for process improvements and recommend solutions to enhance the workflow and intake management processes.

Required Qualifications:

  • A minimum of 6 months of experience in Business Operations, Implementation, or Strategic Planning.
  • Proficiency in using Excel for data analysis and reporting purposes.
  • Strong understanding of intake assessment processes and methodologies.
  • Experience with Jira or similar project management tools for tracking and coordinating work.
  • Familiarity with tracking and reporting techniques to monitor progress and communicate project statuses effectively.
  • Ability to design and implement workflows that optimize efficiency and ensure smooth operations.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong interpersonal and communication skills, enabling effective collaboration with stakeholders at all levels of the organization.

Preferred Qualifications:

  • Experience in managing intake and workflows in an analytics or data-driven environment.
  • Familiarity with additional project management software and tools.
  • Knowledge of process improvement methodologies such as Lean or Six Sigma.
